Administrative Assistant / Office Coordinator Job Description:

Job Description:

We are looking for an exceptional, hard-working person to join our team as an Administrative Assistant / Office Coordinator. If you have outstanding attention to detail, take pride in your ability to multi-task and can provide excellent customer service to our valuable clients, you could become a member of our team. Working under the direct supervision of the Operations Director, this position provides necessary organizational support within the office. Duties include office management and project-based work.

Duties and Responsibilities:

Office Management // 40% of time

  • Greet and direct office visitors, organize and assist with client meetings when needed
  • Scheduling meetings and appointments within the office
  • Respond to outside requests for information and/or forward messages to appropriate staff
  • Maintain office condition and inventory
  • Coordinate communication with the IT department, handling any request from team members with IT issues and maintaining inventory of technology in the office
  • Address employee queries regarding office management issues (e.g. stationery, hardware, travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Partner with HR to update and maintain office policies as necessary
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Administration // 30% of time

  • Light bookkeeping tasks as assigned, bank deposits
  • Respond to outside requests for information and/or forward messages to appropriate staff
  • Provide administrative support to leadership staff as needed
  • Maintain and update filing for the organization
  • Maintain internal server structure
  • Assist in the onboarding process for new hires

CreativeMornings + Matchstic Events // 30% of time

  • Support the CM team to execute each month’s event in a super thoughtful and detail-oriented fashion. Be lively, upbeat, positive, and community-focused in each form of communication as to really represent the heart and drive behind CreativeMornings.
  • Help CM Producer with all logistical and coordination details for the month’s event. Ensure that all details have been addressed, resulting in a smoothly executed event.

Qualifications:

Ideal candidate will be a “self-starter” with the ability to work independently and problem-solve.

Intermediate skill level required in the use of software programs: MS Word, Excel

Effective communication skills and ability to multi-task

Excellent organizational skills (oral and written)

Must be detail-oriented and work well under pressure

Interest in the creative industry a plus.

Position Overview:

35-40 hours/week

Position is preferably full-time but we would consider a 30 hours/week, part-time position if the applicant is the right fit.
